Who we are
Network Motion Ltd (“Network Motion”, “we”, “us”) is a UK managed service provider. Registered in England and Wales (company number 09099742). For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), we are the controller of the personal data described in this notice.

What we collect and why
When you contact us
If you use our contact form, email us or call, we collect the details you give us — typically your name, company, email address, phone number and message. We use these to respond to your enquiry and, where relevant, to prepare a proposal. Our lawful basis is our legitimate interest in responding to business enquiries, or steps taken at your request before entering into a contract.
When you become a client
We process contact and account information needed to deliver our services, bill accurately and meet legal obligations (for example accounting rules). Our lawful bases are performance of a contract and compliance with legal obligations. Where we act on client systems containing personal data, we generally do so as a processor under the client's instructions, governed by our service agreement.
When you visit this website
This website is a static site that sets no analytics or advertising cookies. Our hosting provider processes technical data (such as IP addresses) in server logs for security and delivery purposes; we do not use this data to identify visitors. See our cookie policy for the full statement.
Who we share data with
We don't sell personal data, and we don't share it for anyone else's marketing. We share it only with the service providers who help us run the business, under contracts that restrict how they may use it, and where the law requires it. The main ones are:
- Microsoft — email, documents and business systems (Microsoft 365).
- Microsoft Azure — hosting for this website and the contact form's processing.
- SMTP2Go — delivery of the email that a contact-form submission generates.
Where a provider processes personal data outside the UK, we rely on an appropriate safeguard — a UK adequacy decision, or the UK's International Data Transfer Agreement (IDTA) or the UK Addendum to the EU standard contractual clauses.
How long we keep it
Enquiry correspondence is kept only as long as needed to handle the enquiry and a reasonable follow-up period. Client records are kept for the length of the relationship plus the periods required by law (typically six years for contractual and accounting records).
How we keep your data secure
Security is the core of what we do, and we hold ourselves to the standard we set clients: access to personal data is limited to those who need it, multi-factor authentication is enforced on our accounts, data is encrypted in transit, systems are kept patched, and backups are maintained. No control is ever perfect, but we take technical and organisational measures proportionate to the data we hold, and review them as our tools change.
Automated decision-making
We don't make decisions about you by purely automated means, and we don't carry out profiling that produces legal or similarly significant effects. Any AI tools we use in delivering our own services follow the same rules we recommend to clients: a person reviews anything that matters, and no personal data goes into a tool that would train on it.
Your rights
You have rights over your personal data, including access, rectification, erasure, restriction, portability and objection. To exercise any of them, email hello@networkmotion.com. We'll respond within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk, though we'd welcome the chance to sort it out first.
